Use annotated images, but keep dimensions in the specification

If a change alters fit, material behavior, construction, decoration, use performance, compliance evidence or packing, require enough new evidence to approve the affected function.

Approve the pre-production sample as a package

A pre-production sample, often called a PP sample, should represent the intended production build to the extent stated. The approval must list anything that is not production-intent. A physical golden sample can age, fade, compress or become damaged. It should be supported by current written data, dated photographs and component references. A beautiful sample without a specification cannot reliably control a reorder.

State which aspects the sample controls—appearance, construction, hand feel, decoration or pack-out—and which aspects are controlled by written limits or test methods. If the sample and specification conflict, the order documents should define the resolution process rather than leaving production to guess.
