Buyer quick answer
Compare custom tote bag suppliers with one controlled RFQ and evidence for the proposed material, construction, decoration, quality plan and delivery scope. Ask every supplier to separate confirmed items, assumptions, exclusions and optional costs so quotations describe the same bag.
Page focus: this is a tote-specific supplier RFQ and verification checklist. The linked manufacturer guide covers the broader sourcing process.

Issue the same RFQ to every supplier
- Use, contents, target load, dimensions, gussets, handles and closure.
- Fiber, fabric construction, weight basis, finish, color and care.
- Artwork files, decoration, labels, packaging and claim requirements.
- Quantity by SKU, sample stages, tests, inspection and destination.
- Quotation currency, Incoterm, validity, exclusions and required date.
Define the tote before evaluating the supplier
A supplier cannot quote a controlled product from a picture and target price alone. Create a versioned specification with finished measurements, material, construction, components, tolerances and intended use.
Include a contents or load brief. A retail checkout bag, promotional giveaway and heavy merchandise tote may need different handles, reinforcement, artwork and tests.
Request a material identity that can be checked
Ask for fiber composition, fabric construction, weight with its measurement basis, color/finish and supplier material reference. Terms such as cotton, canvas, recycled or organic are incomplete without order-specific evidence.
Approve a swatch or lab dip and record it. If certification or environmental wording will be used, confirm scope, issuer, validity, chain of custody and whether the claim applies to the exact material and order.
Compare construction line by line
Document panel layout, seam type, seam allowance, thread, binding, handle dimensions and attachment, gussets, base, lining, pockets, closure and reinforcement. Ask suppliers to mark any proposed alternative.
A lower quotation may reflect a different construction rather than better efficiency. Require the quotation and sample to reference the same specification revision.
Verify decoration capability on the proposed fabric
Provide vector artwork, color references, dimensions, placement and tolerance. Ask for the recommended method and its limitations on the actual fabric, finish and color.
Approve a strike-off or decorated sample for coverage, registration, hand feel, edge quality and placement. Confirm artwork rights before manufacture and any public display.
Ask for a sample plan, not one generic sample
Separate material/color approval, artwork strike-off, construction sample, pre-production confirmation and packed sample when the project needs them. State which stages can be combined.
Name the approver, revision, comments and disposition of each sample. Keep a signed or otherwise controlled reference for bulk comparison.
Make the quality plan measurable
Define critical measurements, workmanship limits, material/color references, logo criteria, closure function, representative load checks, packing and label verification. State the test method and pass criteria for any performance claim.
Agree inspection timing, sampling plan, defect classes, acceptance limits, reporting and corrective action before production. “Quality checked” is not a substitute for an inspection plan.
Verify business and production roles
Confirm the legal entity on the quotation, contract and payment instruction. Ask who sources material, makes samples, performs production steps, conducts inspection and arranges export or logistics.
A trading company, manufacturer or coordinated supply network can each fit a project. The useful question is whether responsibilities, controls and escalation contacts are clear and documented.
Normalize commercial quotations
Compare currency, Incoterm, destination, quantity and SKU split, sample and tooling charges, packing, testing, inspection, freight, tax/duty treatment, payment terms and quotation validity.
MOQ, price, capacity and timing depend on the approved specification and production conditions. Request written confirmation rather than relying on general website statements.
Check change control and reorders
Ask how material lots, artwork revisions, component substitutions and production changes are approved. The supplier should identify changes before using them.
For reorders, recheck material availability, color, components, evidence, prices and schedule. A prior sample does not automatically control a later material lot.
Plan packing and receiving evidence
Approve folding, inserts, individual packing, carton quantity, labels and carton marks. Confirm how decorated surfaces, handles and structured parts are protected.
At shipment, retain inspection records, approved references, carton list and agreed evidence. At receipt, document discrepancies with SKU, carton, quantity, photos and measurements.

Frequently asked questions
What is a typical tote bag MOQ?
There is no reliable universal MOQ. It varies with material, decoration, components, color, SKU split, packing and production conditions.
Which fabric is best for a custom tote?
Select it from use, load, appearance, decoration, care, claims and budget. Approve the complete material specification and sample.
How should two suppliers be compared?
Use the same versioned RFQ and normalize specifications, evidence, exclusions, commercial scope and acceptance criteria.
How long will sampling and production take?
Request a dated schedule after the supplier reviews the specification, approvals, materials, capacity, quantity, packing and destination.
